I I was um I think the I think the meet that meeting we workshop we had was a good first step to kind of brainstorm and put a bunch of ideas out there. But um typically with a with a goal setting type of a um action, we actually would
pick you know two three whatever from this list and kind of um you know come up with some sort of an action plan for it and um you know go from there. I just so I just didn't you know want to bring up what's the next step in kind of establishing some some larger longer term goals for this year.
Um do you want to establish um I don't have that list right in front of me right now. Do you want to establish off that list a couple to work on and then set another workshop or right now or do you want to just have it set another workshop and look at it from there?
I think we should set another workshop and and um and it's not urgent. Maybe we even wait till the election so until we have a good idea have our fifth member and it's only you know it's only a couple weeks away and um and then we can and that person may have something else to add to the equation. But I think I I think the goal to come out of the next workshop would be, okay, here's the x number of goals that we're going to work on by next town meeting.
Mhm. And and then come up with a plan and actually, you know, make progress on. Yep. Yep. Any objections to that? Okay. All right. Um, Ruth has a new complaint compliment complaint suggestion for she'd like to I don't even see compliment as an option on the top of this form.

Usually Calvin, poor guy. And if he's added whatever comments on they get us back a copy, we'll put it in that file. So yeah, we haven't in the past, but I think we need to start doing that because I think that we need to be able to to track down the
Well, it's easier if they come in and ask the question here. If we have that as opposed to trying to chase down one of the department heads. So if somebody calls on the phone, do you fill this out as we have not in the past, but it might be something that's worth doing.
Might be a good practice to if they call on the phone to kind of, you know, kind of encourage them to come in and do it, but yeah. Yeah, I think that that would be preferable. Certainly because sometimes if if they call on the phone and they don't come in and do it, sometimes it's not that big.

I mean, if you have to catch up with them on the street, you're probably not going to have the form and you might not remember everything they said. So, if they could at least fill it out so we remember what they were talking about.
If there's an email, you could just print the email and attach it to the form. So, so when they email the selectman, should we just give that to you and you select it to the form and then we will discuss at a up and coming how do those get
I guess that's my real question is we've gotten a couple in the past couple of weeks I'm sure obviously we've all got them what's the proper way of handling those and how are we are we just forwarding these off to Calvin or we forwarding
We should all have a copy of it and we should ship it off to the bob and head and we should I don't know that I don't know in the past if we've actually set a time frame for some of that stuff. I know potholes has a has a legal time frame.

So, um, we've been talking amongst our board members and wanted to know if you had any, uh, any ideas about maybe going on a monthto-month basis as as, you know, um, subbing out your road commissioner to us, you know, kind of the same amount that we're we're paying right now because or whatever, you know, if you're going to whatever raises you put in there or whatever. So,
I don't, you know, I don't know what you have planned already. Um, and if you haven't planned anything yet, I'm just kind of throwing that out there as an opportunity. Well, we've kind of thrashed around a couple different things, but we haven't made any decisions yet. Um, we hoping to talk with Kelvin a little bit about that tonight if he's able to make it. So, um, we kind of want his input on it
for I think at least I I'd like to have his input on before we make a final decision on how that goes. I think you said something about maybe until September possibly. Well, yeah. I mean, it it all depends on how long it takes us to find somebody to to hire. Um, if you're looking at the classified and MMA right now, you can you see there's a bunch of repeat applications or, you know, want sections out there for PE to hire people. So, we're kind of looking at that thinking, you know, it might be a little while before we can actually hire somebody. So, uh, but we, you know, we need somebody going into winter because we need to have a driver going into winter, right? So, we we at least need to hire, you know, by fall we would hope to have somebody on board.

He put it on this uh so this is his reasoning why he wants why he feels we should get $100,000 because he is just uh concerned that if something unforeseen comes up that we have to go back to town with more money. It would be not well received. So he's saying, you know, if we don't use it, you can always put it back in the capital fund or which I'm sure you would do anyway, but if it doesn't get used, we just go back into the fund it came from. So this was his, if you read his first paragraph there, it's breakdown. Um, if you look at his second page,
266 that's the breakdown on the second page. But But, you know, it may be cheaper. We just don't know. We won't know until it goes out to bid and it might come in. You know, hopefully it comes in it and we have to have maybe we only got to have 30,000. I don't. So, I guess what I'm saying to you is this is what I have. Uh, and how you want to proceed is
do you want to wait until it goes out? Well, really can't put out to bid unless you put it out to bid subject to special town meeting approval. And then you're not going to get people really excited about bidding, right? getting too serious about getting a job that they don't know is going to

He's just waiting to get he sent it out to some other engineering department to get some figures to get their figures back. And so the u um that's figures just out respect to cost or respect to just engineering figures? Engineering figures so that he knows what the final cost is going to be. The the company is putting the final numbers on it.
So if you want to wait another couple weeks and see if he's not convinced that uh that that that he's going to have a better answer for us in a couple weeks is all he's saying. He likes that $100,000 figure. So, as far as timing, we're essentially waiting for the board to agree on a figure to ask in a special town meeting and then we'll schedule a special town meeting.
Yes. Yeah. And I'm kind of inclined to go with the recommended amount just because granted if something should come in higher, it's tough to go back and ask for more of no matter what it is. So, I mean that would be the third time back to the well,
not the second. Yeah. So, so, so he's adding a $25,000 contingency just because he says just just to have in case something comes up, we find out that we have unsuitable base or something that needs to be have to go deeper with the footing.
Some type of piling or something or preload. So, he just says he just would feel comfortable doing this. Well, I feel comfortable with that number. And he says, you know, you're going to get it all back. Whatever we don't use. I mean, hopefully we don't maybe we don't need 20,000. I don't know.
And it goes it goes to just straight undesated, not necessarily to capital reserve or goes to capital reserve. Well, the money is coming well supposedly what we had talked about was the money would come out of the public works capital reserve account,
right? Ah, okay. And so I would suspect that, you know, it should go back into the capital reserve. Yeah. And we have that much. Do we have enough? Yeah. There was I think almost 400,000 329,000 I think. 320. Yeah. So whatever doesn't get used, we'll will go right back.

It's all going back in there. So, fresh. Do we want to get get the bits out and get the bid figures back before we do that? Well, we're not really raising it. It's just approving it. It's going to be hard to get bids. Yeah, I guess it would be if we I hate

we were going to ask for more money from the town to make this project. I I didn't get the fact that it was coming out of this, right? No. So, if the money's allocate not allocated, wrong word. If the money's already there, we're not
doesn't matter. I say throw another 10 grand on there. So to come out of the capital fund account, we have to have approval from the Yes, you you have to have a special town meeting to appropriate that money to What was it appropriated for before?
It hasn't been appropriated. It's in the reserve account. You have to have permission to spend the money in the reserve account. It's just like you said we can't use it's kind of like rainy day money. That's why this comes up. That's right. That's why I tell people it's not the Sleptman's budget. It's not the budget committee's budget. It's the town's people's.
So the So the money we have in there, is that part of money we need to asphalt rabbit? I know we've already done that. That's all paid for. Yeah. Yeah. That's that was out of that. That was out of a separate bond. Yeah. Okay. That wasn't out of the capital.
Right. Right. Okay. The only thing it would take from is if we had to spend like a h 100,000 or so, it puts whatever savings plan towards a future new truck back. Sets that back a h 100red grand or whatever it ends up being
if we physically had to use that. If we had to use it, right? But we'd have to get that approved then. Yeah. Right. Yeah. You can't you can't spend any money without an approval of the town. It's no fun. The Eureka Center a couple years ago couldn't take 500 bucks out of their 000 whatever or $3,000 fund to buy a stove without town permission to do it.
So it's I see work. Yeah. Yeah. There are certain instances where you can meet with the budget committee to move some money around, but I can't remember what those are, but as far as I know, there's only two accounts that you can overspend in.
Winter roads and general assistance. Well, there was one when we did the repair on the Eureka Center. That was just last year, right? That was an emergency fund. Yep. That was the emergency fund. Oh, okay. And we replaced that.
Then we replaced it with another warrant at the next town meeting. Yeah, I see. I think really the only question is do we want 100 or do we want a little bit more or are we good with 100? He seems content with 100. I would defer to the experts on that. I have no idea.
That's what I need. Yeah, I see how hard it is to go back, right? You guys do. That's why I'm asking. That's why he wants the 100. He's just want to be safe. So, I don't think we want to get it out to bid and get them going because we get too absolutely
if we get too late in the year. So, we got to we have to have so many days we have to post this for a special time. 10 days. 10 days. So, we want to we're going to we're going to get this approved before we put out the bid that we ought to do that right off.
Right. So, what is the special meeting we got coming up for the That's a special election. It's not two different things. An actual meeting. That's basically just going to go vote at that one. So, it's going to be a separate meeting.
There's going to be a separate it's it's just going to be a meeting on the one warrant item and that's going to be it. Calvin, is this an easy one when we go before the town to say, "Hey, we have to do this because of X."
Well, we don't have a reason. The road's collapsing. Yeah, that's right. So, it's it's a it's a there's no hey, you know, we could maybe get another 20 years or we could maybe this is a has to get done. The narrative is we've got grants to cover most of the work,
but we need to have availability to some funds in case the job is a little bit more involved than we thought it was and and it's money that's already in reserve. We're not raising additional tax revenue for it. And correct,
it's a safety it's a cushion, a safety valve. The state's going to give us $200,000 to fix it. So, right. And maybe it'll be 250. You know, we'll be kicking in 50,000. I don't know. You know, I mean, he's just saying, "Go for 100 and then if we don't use it, we can."
Sure. And it just stays right in the account. Here we go. Yeah. So, there's no set amount that the state's going to give us. 200 190 195 for each, right? Yeah. Okay. All right. And they're not matching grants. You just need to put in whatever extra that it costs,
right? Which is abnormal to get two. Usually, we're lucky if we get one. So, I don't know how it was good luck. Probably speaks to how bad the situation is over there. Hopefully we haven't used up all our book. All right. Yeah.
So, for the next meeting, I can put together a warrant for you guys to sign and then we can probably You want to do it on a Monday night? Yeah, we could do it on a Monday night if you guys wanted to. Oh, the actual meeting.

u? Well, we're still going back and forth, but either way we go, we'll have enough money. We've gone back and forth with whether to do we talked about 3 in of PM wrap, which is uh the stuff they're taking off in 295. DOT uses it. Um, it's getting hard to find cuz DOT is using it to put down they they uh it's a high quality product that first had to pass the specs for DOT and then it had to pass their inspections after after it was down. And so it's a high quality product that's all virgin material with aggregate that's not it's not mixed with reclaim or any of that. So it's u
3 in. Then they take it and they uh whatever the process is to turn it back into asphalt and uh they liquefy it and uh so we'd be talking 3 in of that structurally sound material which is more structural than than a cold mix. um
3 in of that and then uh chip seal double chip seal the top of it was one scenario and then we were just talking with the engineers and they thought well maybe we do an inch and a half of the PM wrap and then an inch and a half of cold mix and then chip seal but uh no matter
which way I go I can make it happen I I can make it happen for to fit in our current budget. Okay. Is that is that utilizing funds from that you had earmarked for uh Cedar Pond? Nope. We'd be able to still continue all of Cedar Pond, which I thought we were going to have to cut short to make it happen, but
